The trainer's role is to provide all the tools and coaching for a new employee to become an outstanding clinical assistant. Andrea's seminar describes training programs, learning styles, and setting up systems for the development of the next “star employee” for your all-star orthodontic team!

It's Time! Why and How to Update Your New Patient Call and Experience

Do you think the initial contact with a new patient is important? YES! Yes is the right answer, yet the habits of most offices run counter to this answer.

We say the initial contact is all about the caller and providing a great first experience, but the behaviors I hear and observe overwhelmingly provide evidence contrary to that statement. I listen to more than 15,000 calls each year and can attest that most initial call experiences are interrogations instead of nurturing a relationship.

But here's the good news. With three simple strategies, your new patient calls can be something your team and your callers ENJOY! Come join us and learn how!

It’s NOT my Job – Building a Proactive Team

The “it’s not my job” attitude is more than just an employee career killer; it’s a symptom of a much larger organizational problem. Team members who simply do their jobs and nothing more do not contribute to practice growth. If they don’t take the initiative by seeking out new projects and looking for opportunities to share their ideas and suggestions, a practice and team can become ensnared in old ways of doing things.

We will discuss ways a team can create an environment where initiative is encouraged and appreciated by empowering employees and rewarding them for their efforts.

  1. Determine proactive vs. reactive
  2. Develop an environment and culture in your office for empowering employees
  3. Discuss how to use your culture for hiring and firing decisions

Cleaning Up Your Supervised Retention List

In the remote statistical reports that Natalie Beaton provides, she often finds that there are a large number of supervised (active) retention patients who have a past due recall date and have no scheduled appointment. This number can get out of hand fairly easily without attention, which can make contacting these patients more difficult.

In this webinar, Natalie will talk about all of the following: the importance of clear communication about the supervised retention phase throughout orthodontic care, the various statuses and retention recall procedures you may want to consider for clarity, educating the new patient about supervised retention, an example of a signed retention agreement to provide during the final treatment review, details about a protocol for retention follow up with examples of emails/letters, and finally, the various Edge Cloud and ViewPoint tools that can help maintain your supervised retention efforts. You can get your past due retention list to a manageable size and keep it that way with the information shared in this webinar.

Getting Past No

One of the hardest things in an initial evaluation is when you get to the end of the appointment, and they say that they want to go home and think about it. Everything can seem to grind to a halt, but it doesn’t have to. In her ongoing training of treatment coordinators, Natalie Beaton has been able to identify a way of getting a series of small yeses throughout the exam which will lead to a final yes to treatment, yes to financial, and finally, yes to scheduling. There are many ways to orchestrate the initial evaluation to improve your treatment acceptance ratio and Natalie will share the steps she feels will bring about the increased treatment acceptance. This will include some patients who are ready to start orthodontic care the same day and some who are ready to commit to scheduling a start on the day of the exam.

Natalie will share the scripting and examples of communications that can help you in this process. She will also review the reports you can run to track and monitor this information. From the new patient phone call, through the initial visit, and up to the start of orthodontic treatment, you can lay the foundation to increase the number of patients who are excited to get started on their new smile.
